Registration - 2015/16 Season

Club registration takes place exclusively online. There is no in-person or mail-in registration. We use Zone4 to host our registration. Most communication will be via e-mail or through our web site so, once you have registered and provided us with an e-mail address that you would like to use for all club communication, please keep us updated with any e-mail address changes by e-mail to info@hollyburnxc.ca.

There are two registration periods - early registration for coaches and key club volunteers, and regular registration for all others.

Early Registration

Opens September 22 at 8:00 pm until September 30 at midnight.

Early registration with a $50 discount on the registration fee total will be available to families who have a parent/guardian registering as one of the following qualified volunteers only:

  • Coaches (New, Teen, Racing Program and weekday-only coaches must contact the club first)
  • Session Coordinators (must contact the club first)
  • Jackrabbit/Track Attack/Racing Program Coordinators (must contact the club first)
  • Volunteer Coordinator (must contact the club first)
  • Facilities and Equipment Coordinator (must contact the club first)
  • Club Executive (as elected at previous AGM)

Note that fees are discounted during the early registration period only. If you register as a qualified volunteer after the early registration period, you will not receive the discount. Race team members may register early as well but do not receive the discount unless a parent registers as a qualified volunteer.

Your registration will be cancelled with a 15% penalty if you register early and do not sign up for one of these positions.

Regular Registration 

Opens October 4 at 8:00 pm until October 9 at midnight.

These sessions tend to fill very quickly once regular registration opens. Sunday sessions have filled in as little as an hour in previous seasons. Consider enrolling in the Saturday session. Better yet, consider coaching so that you can register early.

Cypress limits us to 60 skiers per session. If we do not have enough volunteer coaches registering, then we may need to limit these numbers even further. See our volunteer page for further details on coaching.

Registration Process 

  1. New Members
    If you have never registered before or are returning to the club after two years absence or more, send us your contact details on Zone4 (click here) so that we can send you a registration notification e-mail, which contains important information regarding registration and a link to our online registration (also on Zone4).
     
  2. Club and Program Review
    Familiarize yourself with the registration process on this page, fees, our programs, the program schedule for this season and the volunteer opportunities. Please note, at least one parent from each family is expected to volunteer. Review these pages even if you are a returning member since changes often take place from season to season. As well, the Registration Guide will assist you in selecting the correct program for your child.

    It is important to review the registration process carefully well before regular registration opens and ask any questions you may have ahead of time.

    If required, KidSport North Shore may be able to assist with funding of registration fees. Please visit their web site (click here) for further details and to submit a request.
     
  3. Online Registration
    Registration is available online only and only via the form that is accessed by the web site link that we send you in the registration notification e-mail. No phone-in, e-mail, mail or fax registrations will be accepted. In September we send out a registration notification e-mail to anyone that has been a club member in the previous two seasons and to new members that have sent us their contact information (see step 1 above). Carefully read the details in that e-mail, select either the early or regular registration period (see the registration dates in the e-mail) and, during the appropriate registration period, click on the registration link in that e-mail and complete the online registration form. Please read all instructions carefully as there is a 15% processing charge on any refunds that we need to process due to mistakes made by the registrant (to cover the credit card and processing fees that the club is charged).

    The family membership is available for the entire family, or you can select individual memberships for each adult or child. Remember, in addition to any program participants, each volunteer and at least one adult per family must register as a member.
     
  4. Confirmations
    You will receive an initial, automatic confirmation from Zone4 to verify that we have received your registration. If you do not receive this soon after you have completed your online registration, please check your junk e-mail folder or e-mail spam filter to ensure that it has not been sent there. If you still cannot find it, the follow up with our registrar immediately (see your registration notification e-mail for details) as you may not have completed your registration correctly.

    Our registrar will review every registration and you may be contacted if there are issues with it. A final club registration confirmation will be sent out by the club some time after the registration period has closed, once the registrar has completed cross-checking all the registrations, confirming that we have processed and accepted your registration. 
     
  5. Pass Purchase
    All program participants, bunny parents who ski with their children, club coaches and group assistants are responsible for purchasing their own trail passes for, at the very least, the days of the program sessions. All pass and equipment rental purchases must be done directly through Cypress Mountain. The best options are:
     
    • Group Rate Season Pass
      A group rate season pass is available at the early bird rate until December 1, 2015. It is the best option for most participants. Information for purchasing these will be included with the registration notification e-mail. This is the cheapest option available for season passes. You may also purchase alpine season passes or adult alpine lessons at the group rate if you wish. Note, only the online purchase option is available; we are not accepting cheques for passes.
       
    • Weekend Session Pass
      This trail pass is available to club members only and is purchased online. It is valid only on the days of your weekend program sessions at Cypress Cross Country. It has an equipment rental option as well (classic skis only). Purchase instructions are sent out with the final club confirmation of your registration. Note that there is no special weeknight pass available and the best option for those that ski weeknights is a season pass. This pass is suitable only for Jackbunnies, their accompanying parents, Jackrabbit Level 1 and 2 and the coaches for these groups. All others should be purchasing a season pass since they are encouraged to ski more than just weekend sessions.

    Passes must be purchased and picked up before the first ski session. Cypress will be very busy on the first day and there will not be enough time to pick up passes then. 

  6. Ski Equipment
    All program members, bunny parents who ski with their children, club coaches and group assistants are responsible for purchasing or renting their own skis, boots and poles. Check our the club Calendar for the date of our annual ski swap at Sigge's or the date of our annual Club Buy Night (and AGM), which will be held at a local retailer that will offer a club discount on equipment that evening. See our Links page for a list of local retailers. Please purchase reasonably up-to-date equipment (e.g. no three-pin bindings, bamboo poles or mohair skis) in good condition so that your child can have an enjoyable experience without having to deal with poor equipment.

    If you prefer to rent, you can choose this as an option when purchasing eleven-session trail passes. Please note:
    • All program participants require classic skis and boots and most require ski poles.
    • Jackbunny and Jackrabbit level 1 - no ski poles are needed.
    • Track Attack, Adventurers and Racing Programs - skate ski equipment is also required.
    • The club has a limited supply of skate skis (mainly Salomon SNS Profil bindings but some Rottefella NNN bindings) for Jackrabbit levels 3 and 4 to borrow for their skating sessions. The coaches make arrangements with the session coordinators for use of these during a skate session.
    • Non-wax skis are probably best for children up to about level 4 so that there is no need to worry about waxing issues.
       
  7. Tax Receipts  A tax receipt will be issued for each child at the end of February for the preceding tax year. If you have not received this by March, please check your junk e-mail folder or e-mail spam filter to ensure that it has not been sent there.
